Privacy Policy
This policy explains what personal information TD Technologies collects, why we process it, how long we keep it and what rights you have. It covers this website and the services we provide to clients.

1. Who we are
TD Technologies ("we", "us") provides marketing, CRM, lead management and automation services to service businesses in the United Kingdom. We are based in Swindon.
For information collected through this website and about our own enquiries, clients and suppliers, TD Technologies is the data controller. For personal data belonging to our clients' own customers, which we handle inside systems we build and manage, we normally act as a data processor on that client's instructions — see section 7.
2. Information we collect
We collect the following categories of information:
- Enquiry details — name, business name, phone number, email address, website, industry and what you tell us about your business when you contact us or submit a form.
- Communications — emails, text messages, social media messages, website chat conversations and notes or recordings of phone calls where these are made.
- Booking information — appointment times, preferences and related correspondence.
- Client account information — contact and billing details for businesses we work with, and the access credentials or permissions needed to manage agreed platforms.
- Technical information — IP address, browser and device type, pages viewed and referring source, collected through cookies and similar technologies where you have consented to them.
We do not knowingly collect special category data, and we ask that you do not send us sensitive personal information through website forms.
3. Why we process it, and our lawful basis
Responding to enquiries
To reply to you, arrange a strategy call and answer your questions. Lawful basis: legitimate interests, and your consent where you have given it for us to contact you.
Providing our services
To deliver what has been agreed, including advertising management, CRM setup and lead handling. Lawful basis: performance of a contract.
Service communications
Appointment confirmations, reminders, updates and administrative messages relating to work in progress. Lawful basis: performance of a contract or legitimate interests.
Marketing communications
Occasional emails about lead generation for service businesses, only where you have opted in. Lawful basis: consent, which you can withdraw at any time.
Improving the website and measuring advertising
Understanding how pages are used and which campaigns produce enquiries. Lawful basis: consent, through the cookie controls on this site.
Legal and accounting obligations
Keeping records we are required to keep. Lawful basis: legal obligation.
Service communications are separate from marketing. Declining marketing does not stop us sending information you need about work we are carrying out for you.
4. CRM processing and workflow automation
Enquiries are recorded in a customer relationship management system. That record may include your contact details, the enquiry itself, the conversation history, appointment details, the source of the enquiry and internal notes or status labels.
Automated workflows may act on these records — for example sending a first response, scheduling a follow-up message, creating a task for a person to complete or moving a record between pipeline stages. These workflows do not make decisions that have legal effects for you, and a person can review or take over any conversation at any point.
5. AI-assisted systems
Some systems we operate, and some we build for clients, use AI-assisted features to draft replies, answer configured questions, summarise a conversation or take details from a phone call. Where an automated assistant handles a call, callers are told that they are speaking to an assistant.
In these cases, the content of your message or call may be processed by a third-party AI provider under contract, solely to produce that response or summary. We select providers that do not use this content to train their general models.
No automated system decides whether you receive a service, a price or a quote. Those decisions are made by people.
6. Phone, email and SMS communications
If you provide a phone number we may contact you by call or text about your enquiry. Where calls are recorded or transcribed, this is to keep an accurate record of what was discussed and to make sure enquiries are followed up correctly; you will be informed at the start of the call.
Every marketing message includes a way to unsubscribe. You can also ask us to stop contacting you entirely, by any of the methods in section 16, and we will action that request promptly.
7. Our clients' customer data
When we build and manage systems for a client, that client's customer enquiries pass through those systems. In that situation the client is the data controller and we act as a processor on their behalf, under a written agreement.
We use that data only to provide the agreed services. We do not sell it, share it with other clients or use it for our own marketing. It remains the client's data, can be exported at any time and is dealt with as instructed on termination.
If you enquired with one of our clients and want to exercise your rights over that information, contact that business directly. If you contact us instead, we will pass your request on to them.
8. Third-party processors
We use a small number of established suppliers to operate our services. These fall into the following categories:
- CRM, marketing automation, messaging and appointment booking platforms
- Email, telephony and SMS providers
- Website and application hosting
- Advertising platforms, including Meta, where campaigns are run
- Analytics providers, where you have consented to analytics cookies
- AI service providers, as described in section 5
- Accounting and invoicing software
Each supplier is engaged under terms requiring appropriate security and restricting use of the data to providing their service to us. We do not sell personal information to anyone.
Some suppliers are based outside the United Kingdom. Where personal data is transferred internationally, we rely on adequacy regulations or on the International Data Transfer Agreement or Addendum, as appropriate. You can ask us which suppliers we currently use by contacting us.
9. Advertising and analytics
We may use advertising and analytics technologies, including the Meta Pixel and web analytics tools, to understand which pages and campaigns lead to enquiries. These technologies are not loaded until you have given consent through the cookie controls on this site.
Where advertising technologies are used, the platform concerned may act as a separate controller for the data it receives, under its own privacy terms.
11. How long we keep information
We keep personal information only as long as we need it:
- Enquiries that do not become clients: normally up to 24 months, then deleted or anonymised.
- Client records and correspondence: for the duration of the relationship and normally up to six years afterwards, to cover contractual and accounting requirements.
- Financial records: as required by HMRC, currently six years.
- Marketing consents and unsubscribe records: for as long as needed to honour your preferences.
You can ask us to delete your information sooner, and we will do so unless we are required to keep it.
12. Security
We take reasonable technical and organisational measures to protect personal information, including access controls, multi-factor authentication where available, encrypted connections and limiting access to those who need it. No system can be guaranteed completely secure, but if a breach occurs that is likely to affect your rights we will notify you and the Information Commissioner's Office as required.
13. Your rights
Under UK data protection law you have the right to:
- be informed about how your data is used
- request a copy of the personal data we hold about you
- have inaccurate data corrected
- ask for your data to be deleted, where we have no continuing reason to hold it
- ask us to restrict how we use it
- object to processing based on legitimate interests, and to direct marketing at any time
- request your data in a portable format
- withdraw consent where processing relies on consent
To exercise any of these, contact us using the details in section 16. We will respond within one month. There is no charge for a reasonable request.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

This website links to other sites, including social media platforms. We are not responsible for their content or privacy practices, and this policy does not apply to them. Please read the privacy policy of any site you visit.
15. Changes to this policy
We may update this policy as our services or legal obligations change. The date at the top shows when it was last revised. Material changes affecting how we use your information will be communicated directly where we hold your contact details.
